What are the subscriber onboarding steps?
Getting started
1. Register your facility once. You may compare plans before applying. 2. WISPIVAS reviews the facility and verifies the designated administrator’s staff access. These are separate approvals. 3. Confirm the subscriber’s legal name, country and billing email using your saved details. 4. WISPIVAS prepares and issues the agreement. The authorised representative reviews the completed agreement and signs it. 5. Signing starts the 30-day Practice trial. No card is required and it does not renew automatically. You may choose a paid plan and authorise Paystack checkout separately when ready. Use Continue setup to see your saved progress and next action. Payment does not approve a facility or grant clinical permissions.
Start or continue clinic setupWhat should I have ready before registering?
Getting started
Have the facility or organisation name, country and location, a working contact email and a Google Maps pin for a physical clinic or branch. Use an inbox you can access and save the private application tracking link. The designated administrator will need their own staff details and the identification or professional credentials requested for their role. Prepare the subscriber’s legal operating name, country, billing email and the name and role of the person authorised to sign. Complete required fields shown on each form. Optional branding, photos and extra contacts can be added later. Never share passwords, card details or private tracking links in the chatbot.
Open facility registrationMy clinic is already registered. How do I continue?
Registration and approval
Choose Already started? Continue setup and sign in with the account used for your setup. The page shows saved progress and the next action. Do not register the same clinic again. If the clinic is approved but you have no staff account, choose My clinic is already registered — request access, then submit your personal staff details for that clinic. If it belongs to an existing parent subscription, ask the parent administrator to arrange access; a second subscription is not needed. If saved details are missing, check which email you are signed in with before starting again.
Continue saved setupWhy is my clinic or staff approval still pending?
Registration and approval
Open Continue setup and read Clinic and Your access under Verification status. Facility approval, staff or administrator verification, and agreement issue are separate checks. Approval of one does not complete the others. Read any Changes required note and correct the requested information. If an email is missing, check spam or junk and confirm you are checking the address used for the application. Use your saved tracking link or refresh verification status to see the recorded decision. The chatbot cannot approve access, confirm a review time or check your private application. Contact WISPIVAS if you need someone to review a pending step.
Check verification statusWhere do I find and sign my subscriber agreement?
Agreement and payment
Use Continue setup or open Billing & Subscription → Agreement and clinic approval → Review / sign subscriber agreement. Confirm the subscriber details first so WISPIVAS can prepare the agreement from the saved information. If the agreement has not been issued, ask WISPIVAS to complete and issue it. Staff approval alone does not issue the agreement. If details are blank or incorrect, ask for correction before signing. The authorised representative must read the completed agreement, make the required confirmations and sign personally. The payment-policy checkboxes do not sign the agreement. A signed agreement and its receipt remain available from the same page.
Review agreement statusWhy is checkout disabled?
Agreement and payment
Open Billing & Subscription and read the explanation beside Continue to secure checkout. The subscriber agreement must be issued and signed, and online payment must be available. The authorised billing owner chooses a plan and billing interval, then completes the separate purchase and policy confirmations. If you are not the billing owner, ask that person to manage the subscription. If checkout says it is waiting for an agreement, open the agreement status and resolve that step first. If payment setup is unavailable, contact WISPIVAS. After signing, you can choose to pay immediately; you do not have to wait until the trial ends. The chatbot cannot enable checkout, authorise a charge or bypass approvals.
Open Billing & SubscriptionI paid but my subscription is still pending. What should I do?
Agreement and payment
Return to Billing & Subscription and check the subscription status and expiry date. The app updates the subscription only after verified confirmation from the payment provider; returning from checkout alone does not confirm payment. Refresh shortly if confirmation is still pending. If your card or account was debited, avoid paying again while the first payment is being checked. Keep the receipt and payment reference, then contact WISPIVAS privately if the status remains unresolved. Share the organisation name, billing email, date and payment reference only through the support channel. Do not enter card details or payment references in this chatbot. It cannot view transactions or verify that you have paid.
Check subscription statusHow do I get help during setup?
Getting help
Use this subscriber onboarding manual before registering or whenever you get stuck. In the chatbot, choose Professionals & subscribers and select an onboarding question. Approved staff can ask the same questions in Staff help. Both use the same written guidance. The chatbot provides guide-based answers, not a live support agent. It cannot see your application, approve your account, sign an agreement or verify a payment. For a problem that needs someone to review your account, approved staff can use Suggestions / Support. Before approval, use Send WISPIVAS an enquiry and describe the step and error message. This opens a separate form; a chatbot conversation does not send a support request. Keep patient information, passwords and card details out of support messages.
Send WISPIVAS an enquiryStill need help?
The chatbot uses these written instructions. It cannot inspect your account or send a support request. Describe your setup step and error through one of the channels below; leave out patient information, passwords and card details.
